Smarter tendering starts here: Introducing our Bid AI Tool (BAT)

We have important news: within HeadFirst Group, we are introducing our own Bid AI Tool (BAT). This AI solution has been developed together with our Data- and bid team and technology partner Zeta Alpha. The tool enables us to approach tenders faster, smarter, and more consistently, while strengthening collaboration across the organisation.

Why this tool?

Our bid team processes an increasingnumber of tenders each year. Maintaining and increasing our chances of winning, we want to make use of the knowledge within our organisation and the insights from previous successful bids. The Bid AI Tool supports this by automating repetitive tasks, accessing information faster, and bringing together input from multiple disciplines more effortlessly. The tool also enables colleagues to contribute to tenders in an accessible, low-threshold way.

What can the BAT do?

The tool consists of several ‘agents’, each with its own area of expertise. Together, they form a smart assistant for bid management, legal, sales, and all colleagues involved in tender process. Examples include:

  • Client information – Automatically generates a client background report using external (and sometimes internal) sources.
  • Related tenders – Identifies key themes in a tender and matches them with relevant previous successful bids.
  • Tender scan – Quickly extracts the required services, documents, and award criteria from a tender.
  • Question table & Legal question table – Provides answers based on our own adjustable question sets for content and legal checks.
  • Review bid – Gives feedback on draft responses by analysing uploaded files.
  • Intelligent summary – Creates a concise summary of a tender so colleagues can grasp the essentials at a glance.
  • Bid writing assistant – Produces an outline for a complete bid submission and generates new text using best practices and successful past tenders. (Note: this functionality is currently being further improved.)

In summary: a versatile digital colleague that supports us in writing better-founded and more consistently structured tenders.
